Platform Privacy Notice

What this notice covers

This Platform Privacy Notice explains how personal data may be processed when you use HubRide’s booking platform or when someone makes a booking for you through HubRide.

This includes use of:

  • HubRide booking interfaces used by hotels, venues, reception teams and concierge staff;
  • guest self-service links delivered by SMS, email, QR code or other approved channels;
  • booking, pre-booking, cancellation, return-trip and live-status features where enabled; and
  • payment, prepayment, fixed-price or room-charge features where enabled by the relevant venue or taxi provider.

This notice applies to guests, travellers, venue staff, taxi-company personnel and other individuals whose personal data is processed in connection with a HubRide booking. It does not replace the separate Privacy Policy for visitors to hub-ride.com.

Who is responsible for your personal data

HubRide ApS, CVR no. 42177253, Sct. Mathias Gade 38, 2. 8800 Viborg, Denmark, operates the HubRide platform.

Data-protection roles may vary depending on the specific booking setup and the purpose of the processing. A hotel, venue, taxi company, dispatch provider and HubRide may each act as an independent data controller for their own processing activities. In some configurations, HubRide may also process personal data on behalf of a venue or taxi provider as a data processor under a data processing agreement.

The relevant hotel, venue, taxi provider or dispatch partner may have its own privacy notice, which also applies to its handling of your personal data.

Personal data we may process

Depending on the service configuration, HubRide may process:

  • your name;
  • your telephone number and, where relevant, email address;
  • pick-up location, destination, requested pick-up time, passenger count and other booking details;
  • flight number, hotel or accommodation details, room reference or arrival information where relevant to the booking;
  • price, payment, invoicing or room-charge status where those functions are enabled;
  • communications with HubRide, the venue or taxi provider, including support enquiries and complaints;
  • technical and security information, such as booking timestamps, browser or device data, IP address, access logs and booking-link activity; and
  • account and access information for venue, taxi-company or dispatch users of the HubRide platform.

We may receive this information directly from you, from the hotel or venue making a booking for you, from the relevant taxi provider or dispatch partner, or through an authorised integration.

Why we process personal data

We process personal data to:

  • create, coordinate, manage and complete taxi bookings;
  • send operational communications, such as booking confirmations, changes, tracking links or arrival updates;
  • enable relevant booking features, including return bookings, pre-bookings, fixed prices, prepayment or room charging where available;
  • support hotels, venues, taxi providers, dispatch partners and users of the HubRide platform;
  • handle complaints, quality assurance, disputes and service follow-up;
  • protect the platform, prevent misuse, fraud and security incidents;
  • maintain, analyse and improve the reliability and performance of HubRide; and
  • meet applicable legal, tax, accounting and regulatory obligations.

Legal basis for processing

Depending on the circumstances, HubRide or the relevant data controller processes personal data on one or more of the following legal bases:

  • where necessary to take steps at your request or perform a contract with you;
  • where necessary for legitimate interests, including operating a reliable booking service, providing support, preventing misuse and protecting the security of the platform;
  • where necessary to comply with a legal obligation; and
  • where consent is required, for example for certain optional communications, cookies or features.

Where processing is based on consent, you may withdraw your consent at any time. This does not affect the lawfulness of processing before consent was withdrawn.

Who we share personal data with

We may share relevant personal data with:

  • the taxi company, carrier or driver network delivering the requested service;
  • the hotel, venue or hospitality partner connected to the booking;
  • dispatch platforms and authorised technology integrations needed to deliver the booking;
  • payment, invoicing or room-charge providers where those functions are enabled;
  • service providers supporting HubRide, such as hosting, messaging, analytics, security and customer-support providers; and
  • public authorities, regulators, insurers, professional advisers or law-enforcement authorities where required or permitted by law.

We only share personal data where it is relevant and necessary for the relevant purpose. Service providers acting on behalf of HubRide are required to protect personal data and may only process it under appropriate instructions or contractual safeguards.

International transfers

HubRide may use service providers located inside or outside the European Economic Area and the United Kingdom. Where personal data is transferred to a country without an applicable adequacy decision, we will use appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Agreement or another lawful transfer mechanism.

How long we keep personal data

We retain personal data only for as long as necessary for the purposes described in this notice.

Operational booking data is generally retained for the period necessary to deliver and manage the relevant service and partner relationship, followed by a limited additional period. In many cases, this will be between three and five years where needed for accounting, tax, documentation, dispute handling or legal claims.

Data may be deleted or anonymised sooner where it is no longer needed. We may retain data for longer where this is required by law or necessary in connection with an ongoing dispute, investigation or claim.

Security of your information

HubRide uses technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration, misuse or disclosure.

These measures include, where relevant, encrypted communication using HTTPS/TLS, access controls, monitoring, security updates, secure development practices and incident-management procedures.

Where guest self-service links are used, HubRide is designed to limit access to the relevant booking or guest journey. Links may be time-limited, invalidated or reissued where appropriate to reduce the risk of misuse.

Your rights

Subject to applicable data-protection law, you may have the right to:

  • request access to your personal data;
  • request correction of inaccurate or incomplete information;
  • request deletion of personal data in certain circumstances;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • request data portability where applicable; and
  • withdraw consent where processing is based on consent.

Where HubRide processes personal data on behalf of a hotel, venue, taxi company or other controller, we may need to forward your request to the relevant organisation.

Complaints

You are welcome to contact us first if you have questions or concerns about how personal data is handled.

You also have the right to lodge a complaint with the Danish Data Protection Agency, the supervisory authority in your country of residence, or the Information Commissioner’s Office where UK data-protection law applies.

Changes to this notice

We may update this Platform Privacy Notice from time to time to reflect changes in our services, legal requirements or data-protection practices. The latest version will always be published on this page.
